Privacy policy

Version 0.8 — Effective October 11, 2026.

Fork My World operates forkmyworld.com and its Shopify-powered store. This policy explains personal-information handling for this website, store and correspondence with us. It does not describe every future FMW app or programme. New services or materially different uses require appropriate privacy information before introduction.

Personal Information We Collect or Process

The information depends on your interaction with us. It can include contact details you provide, inquiry content and correspondence, customer-record information, transaction and delivery details where a transaction is available, and device or website-use information processed through Shopify and enabled integrations. Please provide only relevant information. Do not send payment-card details, passwords, identity documents or sensitive information through ordinary inquiry forms or email.

Personal Information Sources

Information can come directly from you, your use of the website and enabled technologies, and providers involved in the service you use. We identify purposes when requesting information and limit collection to appropriate purposes and applicable legal requirements.

Inquiries and Partnership Correspondence

We use the contact details and message you provide to review your inquiry, respond and manage related correspondence. An inquiry does not enrol you in marketing, place an order, create a booking or establish a partnership.

Our five enquiry forms are Work With Fork My World, Box Interest, Town Discovery, Creators & Experience Providers, and Business Gift-Giving. They collect the contact details and enquiry answers shown on each form. Town Discovery can also accept an optional photo with the permission described there. The creator enquiry form does not request video or photo uploads. Submissions may create or update Shopify customer records, store answers in Shopify Forms submission records and customer metafields, add enquiry tags, and notify our store mailbox. Optional marketing consent is separate. An enquiry does not create an order, subscription, booking or partnership agreement.

Town Discovery photos do not grant us permission to publish or use them in promotions. We seek separate permission before those uses. Please do not submit identifiable people, children or private information in those photos.

If you send a public link to your own work for review, we use it and accompanying details to review and discuss the inquiry. A link does not grant permission to download, publish, edit or use the work in marketing. Any selected use requires separate permission and applicable rights review.

How We Use Your Personal Information

Purposes include responding to inquiries, maintaining necessary customer/correspondence records, providing a service or transaction you actually request, website operation and security, and applicable legal obligations. A materially different purpose requires the notice, consent or other legal basis applicable to that use.

Optional marketing is separate from inquiry handling. Promotional communications and advertising uses must follow applicable law and your consent choices. You can withdraw marketing consent or unsubscribe. Inquiry submission does not grant a content licence or marketing permission.

How We Disclose Personal Information

Shopify and providers used for the service you access may process information for website operation, communications, an available payment or order, fulfilment, or enabled security, analytics or advertising features. Data and recipients depend on the actual service and integration, subject to required consent choices and safeguards. Information may also be disclosed as you direct or permit, or where legally required or otherwise permitted by applicable law. Public availability or submission is not general permission to republish private information or media.

Relationship with Shopify

Shopify hosts our store and processes information about its use. Shopify Network Intelligence is enabled. Shopify uses data from interactions with our store together with interactions with other merchants and Shopify for enhanced services supporting personalization, performance, security and advertising. Shopify is responsible for that enhanced-service processing and associated rights requests as described in its privacy information.

Read the Shopify Consumer Privacy Policy and Shopify Privacy Portal for its information and applicable choices. You can also contact FMW about information under our control.

Cookies, Tracking and Your Choices

Shopify and enabled integrations can use cookies or similar technologies for operation and, where permitted and appropriately configured, analytics or advertising. Applicable consent choices must govern the optional processing that requires them.

Use privacy choices presented on the service and browser controls where available. Browser controls can affect functionality and may not control every provider. Contact our Privacy Contact if you cannot use an available choice.

Third Party Websites and Links

External websites and social platforms have their own practices. Review their notices before providing information. Do not post private details in public comments. An outside link does not imply an FMW partnership.

Children’s Data

Our pre-launch website and inquiry forms are directed to adults. Family and Kids offerings are addressed to parents or guardians. We do not invite children to register or submit personal information directly through these pre-launch forms. If you are a parent or guardian concerned that a child has provided personal information through these routes, contact our Privacy Contact so we can review and address the concern.

Security and Retention of Your Information

For Box Interest, Work With Fork My World, and Creators & Experience Providers, we retain enquiry records and associated submission records, customer fields, tags and notification copies for 12 months after the last meaningful enquiry interaction or closure, whichever is later, and then delete them. We delete test records 30 days after QA completion. We review retention monthly and document any legal hold separately. Other information remains subject to the purpose-based retention requirements described below.

For Town Discovery and Business Gift-Giving, we retain enquiry records and associated submission records, customer fields, tags and notification copies for 12 months after the last meaningful enquiry interaction or closure, whichever is later, and then delete them. We delete test records 30 days after QA completion. Town Discovery photos are used for recommendation review and are deleted from systems and copies under our control within 30 days after that review is complete, unless separately recorded permission and a continuing purpose justify longer retention. We review retention monthly and document legal holds separately.

Our adopted privacy operating policy requires access based on need, appropriate safeguards and a purpose-based inventory with monthly necessity review. No security method is perfect; avoid sensitive information in ordinary email or inquiry channels.

Retention depends on continuing purpose, applicable legal requirements and valid holds. When retention is no longer needed or required, information must be deleted or de-identified through an appropriate process. Disposal can involve multiple providers/copies; deleting one record does not establish every copy was removed. Minimum consent/suppression evidence may remain necessary to honour choices.

Your Rights and Choices

Meghan Ness oversees deletion requests. After proportionate identity verification, we use Shopify's personal-data erasure process, check related form records and files, remove notification emails and any exports under our control, and track deletion with apps or providers holding copies. We document completion, permitted exceptions and backup handling. Removal from active systems may not immediately remove provider backup copies; we seek the applicable provider schedule, restrict residual use and track outstanding disposal. We maintain a deletion record so deletion can be reapplied if information is restored.

Contact our Privacy Contact to ask about information we hold, request access or correction, withdraw consent, or ask about deletion and other rights under the applicable law. Rights, exceptions and permitted retention vary; this policy does not promise unconditional deletion or portability.

We may need proportionate identity verification and enough detail to identify the information requested. We review requests, explain applicable limitations and respond within the legally required time. A Shopify request does not automatically complete a request about our correspondence or other providers. Use the unsubscribe option in promotional email or contact us about preferences. Necessary inquiry/service replies are separate from marketing. We explain relevant consequences if withdrawal affects a service needing the information.

Complaints

Send a privacy complaint to our Privacy Contact. Meghan Ness is the initial handler for requests and complaints. You can request information about our procedure. You may also contact the regulator with jurisdiction over your concern, including the Office of the Information and Privacy Commissioner for British Columbia where BC law applies.

International Transfers

Our Box Interest, Work With Fork My World, and Creators & Experience Providers forms are intended for adult enquiries from Canada and the United States. This enquiry scope does not establish sales, shipping or public availability. Town Discovery and Business Gift-Giving are also intended for adult enquiries from Canada and the United States. This scope does not establish sales, shipping or public availability. Shopify hosts our customer data in the United States; communications and enabled providers may process information internationally, as described here. We do not promise Canadian-only data residency.

Shopify’s customer-data hosting location for our store is the United States. Communications and enabled providers can also involve processing outside your province or country. Foreign processing can be subject to lawful access under local laws. We remain accountable for information under our control and must use appropriate arrangements for providers processing it on our behalf. Applicable safeguards and rights depend on the processing and jurisdictions. Contact our Privacy Contact with questions.

Changes to This Privacy Policy

We update this policy as practices or legal requirements change, identify the current revision on the published policy, and provide any notice or fresh consent required for a material change.
